Need to give your internal team members access to view public articles inside the HelpDocs dashboard without letting them edit them? This feature is perfect for that!

By creating a Permission Group with the special name [Public], you can restrict your articles from being edited, but allow them to cra. Team members assigned to this group will still see these articles in the Content tab, but they won't be able to click and edit them.

This isn't about restricting external users or customers. Instead, it's for your internal team members who log into your HelpDocs dashboard.
The magic happens with the [Public] tag in the permission group name. This special naming tells HelpDocs to make all public articles read-only for users in this group.

Setting Up Your Permission Group

  1. Create a new Permission Group with the exact name [Public]
    New permission group with the name [Public]
  2. Head to Settings > Access > Members
  3. Select the team members you'd like to add to the group
  4. Click Edit x Users
  5. Under Read-only groups select [Public] from the dropdown
  6. Hit Save changes
The [Public] Permission Group will only appear in the Read-only dropdown list.

That's it! Your selected team members can now view all public articles in the Content tab, but they can't edit them. They'll still have full access to any other articles based on their regular permissions.
